Attributes

An attribute is a customizable information field you can add to an asset. You can then filter on these fields in the catalogue and activities.

You can choose from:

  • Boolean: This will provide true and false options to users.
  • Date: Users can choose a date from a calendar.
  • Decimal: Users can provide a decimal value.
  • Email: Users can provide an email to this attribute field.
  • Group: Users can choose a group from their organization.
  • List: Create a list with your own provided options that users can choose from. This can also be used for navigation of the catalogue.
  • Notes: This will provide a large text field for users to write notes.
  • Number: This provides a number field so users can add a number value to assets.
  • Person: Users can select a user from their organization in this field.
  • Text: This provides a text field.
  • URL: Users can use this attribute to add a URL to an asset.

How to Add an Attribute

Click on Metadata on the left-hand menu.

Choose Attributes from the sub-menu.

Click on Add New Attribute at the top-right of the table.

Provide an Attribute Name.

Add a Description about the attribute.

Choose the type of attribute:

  • Boolean
  • Date
  • Decimal
  • Email
  • Group
  • List
  • Notes
  • Number
  • Person
  • Text
  • URL

Attribute types

If you choose a list attribute, you will need to choose whether it will be enabled for [navigation of the Portal Catalogue. You can learn more about using a list attribute as navigation terms here.](/portal/metadata/navigation/). It will also not be available as a catalogue filter if it is used for navigation.

Choose the Applicable Entity Types by selecting the checkbox beside the entity type.

This attribute will be applied to any ‘Entity Types’ selected here. The ‘Entity Type’ list will display the ‘Category’ followed by the relevant ‘Asset Type’. So any assets belonging to the selected entity types will have this attribute.

Please note that removing a Custom Attribute from an Entity Type **will delete the data attached to that Custom Attribute on an asset**.

Choose whether it will be a required attribute. If an attribute is required, when editing the information of an asset with this attribute it will need to be completed to save and exit.

If you add a new attribute that is required to an asset that has all other attributes already provided or if you edit an existing attribute to instead be a required field, all entities will need to be updated for this attribute.

Click on Save and you can view this attribute in the table.

Add Attributes to your Assets

You can add values to the attributes when editing an asset on the information page.

Then click on Edit beside ‘Attributes’ to add more information to the asset.

You can then provide values to the attributes.

Attribute Types

Boolean

This will provide true and false options to users.

Click on ‘True’ or ‘False’.

Date

Users can choose a date from a calendar.

Click on the month and year at the top of the calendar.

Choose the date from the calendar view.

Click on the clock below the calendar to choose the time.

After you have selected the date and time, it will display below.

Click on Select to choose the date and time.

Decimal

Provide a decimal value into the number field.

Email

Provide an email in this attribute field. It will need to be in an email format to save.

Person

Choose a user from your organization in this field.

Type in the user’s name and then choose the user in the dropdown.

Group

Choose a group from your organization.

Type in the group’s name and then choose it from the dropdown.

List

Choose from the list options and click on its checkbox.

If there are any sub-options, you can click on the arrow at the end of the list option to expand and view any sub-options.

Notes

You can write a note in this text field. This attribute is used for longer text values.

Number

Add a number value to assets. Provide a number or use the arrows at the end of the row to change the number.

Text

Provide a text value to this field.

You can use the text field for shorter values. If you want to add a longer text value, please use a note attribute.

URL

Add a URL to an asset. Please provide the URL in the correct website format to save.

Save and Filter

Save your changes to the attributes at the bottom-right.

You can then view these changes on the asset.

You can also filter your assets using these attributes.

Click on the attributes column title.

Choose the filter tab. You can then view the available filters for the attributes. Your saved values will be available to filter your assets.

Please note that list filters will not be available as a filter if it is used for navigation.
